During the event the Volunteer Services Coordinator (hereafter referred to in this document as VSC) is responsible for filling any significant gaps in the volunteer shifts by finding volunteers at the event. The VSC will have a print out of the volunteer shifts for each department area (Department Schedules) at the Volunteer Services Booth. Each department will have a copy of their schedules and will Check In their Volunteers. They will report any No-shows to the VSC. The VSC will check in with all departments throughout the day to make sure all Land Grant volunteers reported to shift. At the end of each day the VSC will collect those schedules.
How payouts work: The VSC will compare the physical sheet to the online sheet and adjust the online sheet to reflect the reality of that days work. Upon completion, the updated sheets will be delivered to the Banker for payout the next day ( If internet is not available then the VSC will submit the physical shifts to the bank on site).
Pay Rate: For Nassau 2025 the pay rate for all departments is 50 Nation Sterling per hour. Any hours worked from 8 pm- 8 am are paid 1.5x Or receives double land grant hours. (Example: Jack works a Medic shift from 8pm to 11pm. He gets paid 225 Sterling if shift is not Land Grant Hours. If shift is marked for Land Grant, he receives 6 hours towards his Land Grant and no Sterling)
Land Grant Volunteer Hour Overages: In the event a Crew ends up with more Volunteer Hours for Land Grant than required after the event is over, the following process will be used.
- Any Overtime shifts will be applied first. ( OT Shifts count double for Land Grant and 1.5x for Sterling Pay )
- Any extra hours will be paid out in Sterling to the account that paid for the Land Grant.
- An email will be sent to the crew contact that applied for the Land Grant detailing the overage and that it can be dispersed how they see fit. The following information will be supplied in the email:
- Total hours required
- Total hours worked
- Total Sterling being refunded
- List of Crew Members that filled those hours
Example 1:
Jenny, Captain of Jenny’s Flotilla, received a Land Grant for 5 people, requiring 5 hours of volunteer time. At the end of the event, the total number of hours put towards their requirement was 8. 2 of those hours were after 8pm and qualified for overtime, with the other 6 being normal hours. The OT hours would equal 4 regular hours for Land Grant, and 1 more hour of regular shift would fill the Land Grant requirement. That leaves 5 hours left at 50 Sterling each. 250 Sterling would be deposited back into the account, and she would receive an email listing the 5 hour requirement, the 6 hours + 2 overtime hours worked, the amount being refunded, and the list of crew who worked those hours. Jenny and her Flotilla decide to keep this in the crew bank account and use it for the next event’s Land Grant fees.
Example 2:
Terry’s Tavern of Treasures received a Land Grant for 12 people, requiring 12 hours of volunteer time. At the end of the event, the total number of hours put towards their requirement was 30, with 8 of those hours being overtime. At the end of the event, the OT hours would be more than their requirement, only needing 6 hours to equal the 12 required, leaving 2 OT left over and 22 regular hours. The refund of sterling would be 22 hrs x 50 Sterling + an additional 2 x 75 Sterling for the OT, for a total refund of 1,250. This information would be emailed to Terry and include all of the crew that worked the hours. Terry and his crew decide to split this money equally between all crew, so they contact the bank and request the withdrawal from the crew account and disbursement to individuals after the event.
Penalties and Consequences: When a person misses their scheduled shift (and did not inform the VSC), that is considered a No-Show. If a No-show is discovered for Land Grant Hours, the Head of the Ship/encampment (listed on the volunteer sign up sheet) will be notified and it is their responsibility to find a replacement. If a can be found immediately, no consequences will occur. If a replacement cannot be found, or the Head of Ship/Encampment is unavailable or unfindable, 1 mark will be applied to the Ship/Encampment and they will need to arrange a makeup shift with the VSC to ensure they fill all of their Land Grant hours. If a makeup shift is not completed, another mark will be applied (Note that Overage hours for Land Grant does not exempt this second mark. A shift was missed and needs to be made up.)
If a ship/encampment receives 3 marks, they will not be able to request a Land Grant at that next event they attend. If a Ship/encampment shows a history of missed shifts, they may be subject to being banned from Land Granting in the future. If an individual receives 3 marks, they may be asked to not attend an event or season.
If a no-show occurs for a standard, non-land grant shift, the person who signed up for it will receive a fine equal to 0.5 times that shifts Sterling value, as well as 1 mark against them personally.
Marks are removed at a rate of 1 per event assuming no additional marks occur at that event.
Discussions will be had with persons involved before any final penalty is applied.
Minors and volunteering: The producers allow minors 13 or older to volunteer.
The limitations to a minor volunteering are as follows: Minors age 13-16 may work NO MORE than 2 consecutive hours. They may not work any shift beginning at 8pm or later. They may ONLY volunteer in the following areas: Monkey Island (with parental supervision*), Lost Cove (with parental supervision*), Heralding.
Minors age 17 may work NO MORE than 4 consecutive hours. They may not work any shift beginning at 8pm or later. They may ONLY volunteer in the following areas: Monkey Island, Lost Cove, Heralding, Legacy Bay Inn, Sanitation, Factions. With approval they may do a shadow shift during the day with Safety rovers.
Parental supervision is not to hover over the minor volunteers, it is to ensure there is a person over the age of 18 in those areas*
